Operations and Tax Support Assistant


We are seeking a highly organized and detail-oriented Operations and Tax Support Assistant to join our CPA firm in Buffalo, New York. In this role, you will assist in ensuring the smooth and efficient operations of our office. Your primary responsibilities will include providing administrative support to our teams.  You will work directly with our Office Administrator assisting with various office tasks to help our staff and our clients. This includes and is not limited to, tax processing, typing, calendar maintenance, client communications, cross-training in assorted areas and performing general office functions in an administrative capacity.

The ideal candidate will have excellent communication and organizational skills, strong attention to detail, eager to learn new software programs, and the ability and flexibility to work in a fast-paced environment.

About the Job

  • Provide administrative support to our staff, including document and records processing.
  • Collaborate with team members to support the overall efficiency and productivity of the office.
  • Assist with client communications, including preparing tax organizers, engagement letters and other tax documents.
  • Assist in the processing and e-filing of business and personal tax returns and extensions and well as the preparation of 1099’s.
  • Assist with data entry, filing, and organizing tax and financial documents.
  • Assist in preparing and proofreading various documents, emails, letters, reports, and presentations.
  • Address client and other team members questions and issues
  • Handle confidential and sensitive information with the utmost discretion and professionalism.

 

What We Are Looking For

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Professional and appropriate written and verbal communication skills, especially in follow-up
  • Proven experience as an office assistant or in a similar role
  • Experience with processing and e-filing tax returns.
  • Willingness to work as part of team to balance and share workloads and assignments.
  • Proficient computer skills, including MS Office (Word, Excel, PowerPoint, Outlook) and aptitude to learn additional programs.
  • Minimum 4 days a week in office with some flexibility

The compensation for this role varies based on experience and falls within the range of $45,000 to $50,000 plus overtime. These salary ranges are for applicants based in Western New York.
